How we handle your personal information, patient records, and the small amount of data this website collects.
Who we are
This website is operated by Neil Ingram, Osteopath (Brussels Osteopath), 5 Rue des Trévires, 1040 Brussels, Belgium. As a registered osteopath in Belgium (UPOB-BVBO, GNRPO), I act as the data controller for any personal data described below. What information we collect
When you visit this website
- Anonymised analytics — only if you click "Accept" on the cookie banner. We use Google Analytics with IP anonymisation, no advertising features, and no cross-site tracking. The data tells us things like which articles are read most, but it does not identify you personally.
- Server access logs — kept by our hosting provider (Cloudflare Pages) for normal security and performance reasons. Standard request information only.
When you book an appointment
- Cliniko handles all online bookings on our behalf. When you book, you provide your name, contact details, and the appointment information you choose to share. Cliniko stores this data on EU/EEA servers as our processor under a Data Processing Agreement.
- Patient records — clinical notes, history, and treatment information collected during your visits — are held securely within Cliniko. Belgian law requires us to keep these records for 30 years after your last visit.
When you join the waitlist
- Clinicroll manages our waitlist sign-up form. You provide a name and contact details so we can reach out when an earlier slot opens. You can ask to be removed at any time.
When you contact us
- Email or WhatsApp messages you send us are kept only as long as needed to answer your question and any follow-up.
Cookies & tracking — your choice
This site sets no cookies until you give consent. The banner shown on your first visit lets you accept or decline analytics cookies.
- Strictly necessary: none — the site works without cookies.
- Analytics (optional): Google Analytics 4 — only if you click "Accept". IP anonymised, no advertising, no cross-site profiling.
- Third-party embeds: if you open the booking widget, Cliniko may set its own cookies needed to operate the booking. The same applies to Clinicroll on the waitlist page.

How we use your information
- To provide and follow up on osteopathic treatment.
- To manage appointments, the waitlist, and reminders.
- To answer messages you send us.
- To improve the website (only with analytics consent).
- To meet legal obligations — for example, the Belgian record-keeping requirement for clinical notes.
Who else sees your data
We share data only with the processors needed to run the practice:
- Cliniko — appointment booking and clinical records.
- Clinicroll — waitlist sign-up.
- Cloudflare — website hosting and security.
- Google Analytics — anonymised website analytics, only with your consent.
We never sell your data. We never share it for advertising purposes.
Your rights under GDPR
You have the right to:
- Ask what data we hold about you (right of access).
- Have inaccurate data corrected.
- Ask for deletion, where the law allows — clinical records have a 30-year legal retention period in Belgium and cannot be deleted until then.
- Object to or restrict our processing.
- Receive a copy of your data in a portable format.
- Withdraw consent for analytics cookies at any time using the button above.
To exercise any of these rights, email hello@brusselsosteopath.be. We aim to respond within one month.
If you believe we have not handled your data properly, you may file a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit) at dataprotectionauthority.be.
How long we keep data
- Patient records: 30 years after your last visit (Belgian legal requirement).
- Booking and waitlist data: as long as your relationship with the practice is active, then archived inside the patient record.
- Email correspondence: typically up to two years, unless it forms part of a clinical record.
- Analytics: Google Analytics' standard retention period (currently 14 months), and only if you've consented.
Children
This website is intended for adults. Patients under 18 require parental or guardian consent for treatment, which is collected in person.
Changes to this policy
If we make material changes to how we handle data, we'll update this page and adjust the "Last updated" date at the top. For significant changes, we'll surface a notice on the home page or via the cookie banner.
